Microsoft Planner
Zeitplan.io can show tasks from Microsoft Planner in the schedule, next to the assignments. This shows what people are working on beyond their planned projects.
Turn on Planner tasks
Section titled “Turn on Planner tasks”- Open Settings from the navigation.
- Turn on Show Microsoft Planner tasks.
Only admins can change this setting. It applies to everyone who uses the schedule. Turn it off to hide Planner tasks again.
Grant access
Section titled “Grant access”Zeitplan.io reads Planner tasks with each user’s own Microsoft 365 account, so every user has to grant access once.
- Open the schedule after the setting is turned on. A Microsoft window asks you to allow Zeitplan.io to read your tasks.
- Accept the request.
If Zeitplan.io already has access, no window opens and the tasks appear right away.
If you close the window or don’t accept, Zeitplan.io shows “Grant access to see your Planner tasks in the schedule.” Select Grant Access to try again. Select the X to hide the message until you open Zeitplan.io again.
Zeitplan.io remembers in your browser that you didn’t grant access and doesn’t open the window by itself again. You can still use Grant Access.
Permissions
Section titled “Permissions”| Permission | Type | What it’s used for |

Which tasks are shown
Section titled “Which tasks are shown”Each user sees the tasks from the plans they have access to in Planner. Two people looking at the same schedule may see different tasks.
A task is shown if:
- it has a due date,
- it runs at least partly in the year shown in the schedule, and
- it’s assigned to someone in the schedule.
A task appears in the row of every team member it’s assigned to. Tasks without a due date, unassigned tasks and tasks of people who aren’t in the schedule aren’t shown. A task without a start date is shown on its due date only.
How tasks look
Section titled “How tasks look”Planner tasks have a Planner icon and the task title. They use the color of the task’s first label in Planner.
| Status | How it looks |
|---|---|
| Not Started | Normal |
| In Progress | With a glow |
| Completed | Faded and crossed out |
Hover over a task to see its title, plan, status, labels and dates. Select Open in Planner to open the task in Microsoft Planner.
Planner tasks are read-only in Zeitplan.io. To change a task, open it in Planner. Planner tasks don’t count in Statistics and aren’t part of the Excel export.
Update tasks
Section titled “Update tasks”Zeitplan.io loads Planner tasks once per year you look at. To load changes from Planner, select Refresh in the schedule’s toolbar.
